Intake Specialist & Administrative Assistant
Description

The Intake Specialist & Administrative Assistant will be the first point of contact for most veterans seeking services in the Legal Unit and will provide support to attorneys by performing administrative and general office duties as well as the duties described below. The Intake Specialist & Administrative Assistant will interact with veteran clients at Swords to Plowshares’ main office and at off-site legal clinics by conducting intake interviews, scheduling intake appointments, and providing veterans with legal referrals as appropriate. The work will include creating client matters in our case management program and assisting attorneys with post-intake follow up. The Intake Specialist & Administrative Assistant will also administratively support the Pro Bono Program Manager & Staff Attorney who work with our extensive network of volunteer attorneys. This position works closely with the Senior Paralegal and reports to the Pro Bono Program Manager & Staff Attorney.

Responsibilities
  • Respond to email, telephone, and written inquiries for legal services
  • Assess eligibility for services, schedule intake appointments, and perform in-person initial client interviews
  • Perform initial telephone intakes, scheduling, and related organizational tasks for monthly off-site legal clinics in the East Bay and South Bay
  • Provide on-site support to the Pro Bono Manager & Staff Attorney at off-site legal clinics
  • Complete follow up paperwork and filings after clinics and intake meetings
  • Track open pro bono matters by maintaining case management data and obtain case updates from pro bono attorneys
  • Enter, update, and maintain records in case management database
  • Attend quarterly Pro Bono Advisory Board Meetings and take minutes
  • Assist senior paralegal and attorneys with other administrative and clerical tasks as required
  • Extended periods of sitting at a desk/computer station
  • Meeting with clients
  • Administrative work such as data entry, photocopying, word processing, etc.
  • Tasks outside the office, such as attendance at meetings or to the VA for hearings or file reviews
  • Employee must be able to perform all essential job requirements and responsibilities within what would be considered reasonable accommodation
  • Perform other duties as required by the Pro Bono Program Manager
Education
  • Bachelor’s degree preferred, or equivalent experience
Experience
  • Experience with providing administrative and clerical support; i.e. word processing, data entry, photocopying, correspondence, completing forms, filing, etc.
  • Demonstrated experience with or sensitivity to the needs of clients who are homeless, trauma survivors, experience mental health symptoms, and/or live with disabilities
  • Preferred familiarity with veteran issues
  • Preferred knowledge of local non-profits and other service providers
Qualifications
  • Demonstrated ability to work cooperatively and remain calm under pressure
  • Ability to plan and take initiative to accomplish objectives in a timely manner
  • Performing some tasks outside the office, such as attendance at legal clinics and meetings
  • Must be able to communicate effectively with a variety of personalities and be comfortable working with an at-risk client population, including embracing the agency’s Diversity, Equity, and Inclusion initiative
