Development Assistant

Swords to Plowshares seeks a part-time Development Assistant provide the Resource Development & Communications Director with general administrative support and the department with gift entry, donor acknowledgements, management of the donor database, donor appeals and coordinating donor engagement opportunities.  This role also works within the Resource Development & Communications department to support overall fundraising, communications and events. This part-time non-exempt position reports to the Resource Development & Communications Director.

  • Responsible for gift data entry and updating gift records in Salesforce CRM database
  • Prepares and mails individual and customized donor gift acknowledgments
  • Responsible for maintaining up-to-date donor records
  • Processes credit card donations
  • Works with Finance and Individual Giving Associate to reconcile gift entry
  • Assist the Individual Giving Associate with managing and tracking donor appeals and giving campaigns.
  • Work with the Development and Communications Systems Manager to create customized Salesforce reports and dashboards as needed
  • Generate donor reports, segmented donor lists, and ensure high quality data and contact information is available in Salesforce
  • Assist the Resource Development & Communications Team with writing and preparing donor appeals, newsletters, and other development-related content
  • Assist the Individual Giving Associate to implement targeted direct mail campaigns and implements strategies to increase individual giving
  • Manage employee-giving accounts, and work with Development Specialist to track employee-giving matching gifts and corporate volunteer giving and engagement
  • Provide research, reports and support to assist the Board of Directors in individual fundraising efforts as directed by the Resource Development & Communications Director
  • Track donor-advised fund gifts, conduct research and prepare materials for donor-advised fund managers as directed
  • Work with Development Team to support grant gift entry and tracking as needed.
  • Provide administrative support to the Resource Development & Communications Team as needed
  • Participate in weekly Resource Development & Communications Team meetings
  • Support the RDC team with four annual events and special events as needed
  • Other tasks and special projects as assigned by management
  • Experience providing working in Development and/or providing administrative support at a non-profit or community service agency.
  • Translatable military experience and skills and the desire to work in the nonprofit sector
  • Experience using the Salesforce database, or a similar data management system
  • Detailed-oriented
  • Strong organizational skills to prioritize and carry out multiple tasks requiring rapid turnaround
  • Basic computer skills with proficiency in Microsoft Office, particularly Excel and Word
  • Excellent communication skills
  • Excellent writing and editing skills preferred
  • Ability to work independently and also function as part of a team
  • Ability to operate under pressure of time constraints and multiple demands
  • Creative thinking with a flexible approach to problem solving
  • Physical requirements include sitting long periods and minimal lifting required – 25 lbs max
  • Ability to fulfill essential responsibilities within what would be considered reasonable accommodations
  • Available to work evenings and weekends as needed in support of fundraising events
  • Ability to communicate effectively with a variety of personalities and be comfortable working with an at-risk client population, including embracing the agency’s Diversity, Equity, and Inclusion initiative
